The City of Ryde is an innovative local Council that supports and enhances the wellbeing of its more than 130,000 residents and is actively committed to innovation, sustainability, resilience and providing exceptional customer experiences. Council’s daily operations – to deliver a diverse range of products, events and services – is carried out by over 600 employees working across a number of specialist teams and locations.
THE BUSINESS GOAL
The City of Ryde aimed to improve its digital experience by addressing challenges related to information management. Information was distributed across multiple systems, making it less efficient for staff to locate and use resources. Maintaining and updating the intranet required considerable effort, impacting overall productivity. Staff changes highlighted the need for a user-friendly and accessible platform to support continuity. Additionally, the use of multiple systems resulted in documents being stored in different locations. The objective of the new intranet was to centralise information and enhance accessibility.
HOW WE HELPED
WebVine partnered with the City of Ryde’s Communications and IT teams to design and deliver a modern, scalable intranet using the Injio SharePoint platform. The process involved supporting Council to conduct a comprehensive review of existing content, then improve clarity and usability. Metadata was implemented, and a powerful search centre was configured, enabling users to find relevant content efficiently.
The new intranet, named “InfoNet,” includes a centralised platform for important updates through an announcements module, an enhanced staff directory and organisational chart with detailed profiles and easy search functionality, a mega menu navigation system and helpful links to external systems such as TechOne, People & Culture Kiosk, Australian Standards, the IT Service Desk and Merit CRM.
WebVine also provided training to the City of Ryde team on document management best practices to ensure consistent and efficient content handling. The training equipped staff with the skills needed to manage and maintain the intranet, enabling them to take ownership of the platform.
OUTCOMES
The implementation of the InfoNet has brought a range of positive benefits. Staff now have easy access to up-to-date announcements and organisational information, enhancing transparency and communication. By consolidating content and resources into a single platform, collaboration has become more seamless. The addition of metadata and an improved search centre allows staff to quickly locate the documents and resources they need. With its user-friendly and visually engaging interface, employee engagement has grown, leading to increased usage and satisfaction. The InfoNet has strengthened the City of Ryde’s ability to work efficiently, fostering confidence, clarity, and control over organisational information.
